This notice explains how JobsAnswered ("we", "us") handles personal data. It covers three groups of people: trade businesses who use JobsAnswered, people who visit our website or request a demo, and callers who phone a business that uses JobsAnswered.
Who we are

Our two roles
- For callers to our customers' businesses, we are a processor. The trade business you called is the controller: they decide why your details are collected and what happens to them. We handle your call and your details on their instructions under a data processing agreement. If you want to exercise your rights over a call you made to a business, contact that business; we will help them respond.
- For our own customers, website visitors and demo requests, we are the controller.
Callers: what we collect
When you call a business that uses JobsAnswered, we may collect:
- your phone number and the number you called;
- what you tell the receptionist: your name, postcode or address, contact details, and details of the job or problem;
- a transcript of the call;
- a recording of the call, only if the business has switched recording on, in which case you'll hear a notice at the start of the call;
- photos you choose to upload through a link we text you;
- technical call data such as time, duration and delivery status of texts.
Purpose and lawful basis. This is used to pass your enquiry to the business, so they can call you back, book work or respond to an emergency. The business's lawful basis is usually legitimate interests (handling an enquiry you started) or taking steps at your request before a contract.
AI receptionist. Calls are answered by an automated (AI) receptionist acting for the business. If you ask, it will tell you so. It does not make decisions with legal or similarly significant effects about you; it records your enquiry and passes it to a person.
Safety calls. If you mention a gas smell, carbon monoxide or danger to life, the receptionist will direct you to the National Gas Emergency Service (0800 111 999) or 999. It does not give safety advice of its own.
Texts. Texts we send you (for example a photo upload link or a booking confirmation) are service messages about your enquiry. We do not send marketing on behalf of businesses through these texts.
Customers and website visitors: what we collect
- account details: name, business name, email, mobile, business phone numbers and address;
- billing details (card payments are handled by Stripe; we don't store full card numbers);
- how you configure and use the service;
- demo requests and contact form messages: name, business, mobile, trade, postcode, email and message;
- basic website analytics, only after any consent required by law. We never send caller content to analytics.
Lawful basis: performance of our contract with you, legitimate interests (running and improving the service, following up on a demo you requested), and legal obligations (tax and accounting).
Who we share data with
We use carefully chosen service providers (subprocessors) to deliver JobsAnswered, listed on our subprocessors page. They include our telephony and text provider, our voice AI provider, our hosting provider, our email provider and our payment provider. Some process data outside the UK; where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement / Addendum.
We do not sell personal data.
How long we keep it
Our default retention schedule, which a business customer may shorten:

Your rights
You have rights to access, correct, delete, restrict or object to the use of your data, and to data portability where it applies. Callers should contact the business they called first; you can also contact us and we'll pass your request on and help. You can complain to the Information Commissioner's Office (ico.org.uk).
Security
Data is encrypted in transit and at rest, access is restricted by role, each business can only see its own data, upload and lead links are signed and expire, and we keep audit logs of administrative access.

We'll update this notice when our practices change and show the date at the top.
