Yes, if the job has a predictable length and doesn't need a price or an assessment first. Boiler services, landlord gas safety checks and quote visits are good candidates. Emergencies, renovations and anything you'd want to look at first should become a callback instead.

Good jobs to book automatically

  • Annual boiler services

  • Quote and survey visits
  • Routine visits with a known duration

These have a set length, don't need a price agreed on the phone, and are easy to move if needed.

Jobs not to book automatically

  • Active emergencies. They need a person deciding, now.
  • Unknown duration. "The heating's been playing up" could be ten minutes or a day.
  • Bathroom renovations and big installs. These need a survey and a quote first.
  • Anything needing a manual quote.
  • Complex commercial work.

The diary rules you need first

Whoever books for you, human or AI, needs the same rules:

  1. Durations for each job type.
  2. Buffer between visits for travel and overruns.
  3. Days and time windows each job type can be booked.
  4. Who does each job type, and which calendar is theirs.
  5. Areas: are some postcodes only on certain days?
  6. Notice: how soon is too soon? (Same day? Next day?)
  7. How far ahead people can book.

What a careful booking system must never do

  • Invent availability. Times should only come from your real calendar.
  • Double-book. Two callers shouldn't be able to grab the same slot.
  • Pretend it worked. If the calendar can't be reached, the caller should be told the team will confirm a time, and you should get a callback request with their preferred day.

Caveats

Automatic booking is only as good as your calendar. If you don't keep it up to date, or book personal time elsewhere, people will be offered slots you can't make. Start with one job type, like boiler services, and widen it once you trust it.
